PNG eVisa Invitation Letter

An invitation or sponsor letter can be a central part of a Papua New Guinea visa file, but the required letter depends on the route. Business applicants may need a PNG sponsor or business-associate letter with specific commercial details, while visitor and family cases can use a request letter and other evidence that explains the genuine temporary visit.

Start with the visa class

There is no single universal “PNG invitation letter” format

ICA's published visa material uses several different kinds of letters: a letter from a PNG-based sponsor for business, a request letter from an applicant for some visitor routes, a request letter from a tour agent or sponsor for tour packages, and a cover letter explaining scope of work for Restricted Employment.

The right letter therefore depends on the activity. A family visitor does not need to copy a corporate business template, and a technician should not submit a vague tourist invitation if the real purpose is specialist work.

Match the letter to the visa route. The strongest letter proves the actual purpose of the visit and supports the other documents in the file.

Business invitation

Multiple-entry business has the clearest current ICA letter specification

ICA's live Short-Term Multiple-Entry Business class requires an invitation from a business associate in Papua New Guinea and a separate sponsorship letter from the company or employer.

PNG business invitation

ICA says the invitation should indicate the purpose of visit, duration of stay, location of business and proposed frequency of visits.

Employer / sponsor letter

ICA requires the applicant's full details, duration of stay, flight details and a statement of financial maintenance.

Letterhead, seal and signature

For the current multiple-entry business class, ICA says the sponsorship letter should be issued on company letterhead with an official seal and signature.

These business-letter requirements should not be copied automatically onto family or ordinary visitor applications.

Business letter content

Describe the commercial purpose in concrete terms

A business invitation should make it easy to understand why the traveller is coming to Papua New Guinea. ICA's business classes cover activities such as meetings, workshops, conferences, business negotiations, exploratory visits, trade activity and other permitted commercial engagements that do not amount to ordinary employment.

Specific wording is more useful than a vague statement such as “for business reasons.” Explain the meeting, project discussion, negotiation or other permitted business activity and identify where it will take place.

Keep the activity within the visa class. If the letter describes hands-on technical labour or ongoing employment, a business visa may be the wrong route.

IPA registration

IPA registration matters for the PNG business sponsor, but the letter does not need invented fields

ICA's current multiple-entry business criteria say the applicant must have a genuine invitation from a PNG-based sponsor and should ensure the company is registered with the Papua New Guinea Investment Promotion Authority and located in PNG.

That supports verifying the host company, but current ICA wording reviewed for this page does not say every invitation letter must print the sponsor's IPA certificate number inside the body of the letter.

Do not make an IPA certificate number a universal letter field unless the live application specifically requests it.

Visitor / own itinerary

ICA's published visitor guidance uses a request letter rather than a corporate invitation template

Independent visitors should explain the temporary visit in a simple, credible way.

Purpose

Explain whether the trip is sightseeing, social travel, recreation or visiting friends.

Travel plan

Keep the proposed dates and itinerary consistent with return/onward travel evidence.

Financial security

ICA's published own-itinerary visitor guidance links the travel itinerary with a guarantee that the applicant is financially secure.

Do not force company letterhead, official seal or IPA details onto an ordinary self-funded visitor request letter.

Visiting relatives or family

The file should explain the relationship and the temporary visit

ICA's 2025 Visa Information Booklet lists a request letter from the applicant for the Visiting Relative class, together with a valid passport biodata page, travel itinerary and evidence that the applicant is financially secure. Older ICA handbook material used a sponsor request letter for this class.

Because the published wording has varied, the safest approach is to check the current live class before lodging and make sure the letter clearly identifies the family relationship, host or relative in PNG and the purpose of the temporary visit.

Applicant

Full legal name, passport details where useful, and a clear description of why the visit is taking place.

Relative / host

Name, relationship to the applicant, PNG contact details and location of stay where relevant.

Temporary nature

The dates and travel evidence should support an intention to leave PNG at the end of the visit.

Specialist, research and work routes

The letter should explain the activity the visa is designed to cover

Restricted Employment currently requires a cover letter from the PNG-based sponsor explaining the scope of work. Other specialist classes can require institutional, event, government or research approvals in addition to a host or sponsor letter.

These letters should focus on the activity itself: what the traveller will do, who is responsible for the activity, where it will take place, and how long it is expected to last.

Financial responsibility

State financial maintenance when the visa class requires it

ICA's current multiple-entry business class expressly requires the employer/sponsorship letter to state financial maintenance. That makes clear who is responsible for supporting the traveller during the business stay.

Current ICA material reviewed for this page does not say every private family invitation must contain a formal undertaking covering accommodation, local transport, medical emergencies and repatriation costs.

Use financial wording that matches the actual arrangement. If the traveller is self-funded, do not pretend the host is paying. If the company pays, say clearly what the company covers.

Formatting

Professional formatting helps, but not every letter needs the same formalities

Corporate letters should look like genuine company correspondence. Private visitor letters can be simpler. What matters is that the letter is authentic, readable and consistent with the visa route.

Letterhead

Required by ICA for the current multiple-entry business sponsorship letter. Not a universal requirement for private visitor letters.

Signature

A signed letter helps identify the person or organisation making the statement. Use the signature standard required by the specific class.

Seal / stamp

ICA specifically asks for an official seal on the current multiple-entry business sponsorship letter, but that should not be copied to every visa class.

Who should the letter be addressed to?

Do not make “Chief Migration Officer” a universal addressing rule

Current ICA material reviewed for this page does not establish that every visitor, family, business or specialist invitation letter must be formally addressed to “The Chief Migration Officer, Immigration and Citizenship Authority, Port Moresby.”

If the class, form or diplomatic mission provides a specific addressee, use it. Otherwise, a clear subject line and correctly identified applicant and visa purpose are more important than inventing a formal address requirement.

Letter date and freshness

Use a current letter, but do not invent a universal 30-day expiry

A recent letter is sensible because it shows the host or sponsor still supports the trip. However, current ICA guidance reviewed for this page does not publish a universal rule saying every invitation letter must be issued within 30 days of submission.

The letter should reflect the actual planned travel dates and current sponsor information. If the trip has changed materially, obtain an updated letter rather than relying on an old document with outdated dates.

Current beats artificially “fresh.” Use a letter that accurately reflects the real trip rather than adding a date purely for SEO or cosmetic freshness.

The current sources reviewed for this page do not establish one universal requirement that every invitation letter must be scanned in colour, saved as PDF and kept under 10 MB.

Keep signatures readable

Compression should not make the signature, company details, dates or letter content unreadable.

Do not merge unrelated documents unnecessarily

If ICA provides separate upload fields for the invitation, passport and sponsor evidence, use them as intended.

Host identity documents

Do not assume every private host letter must include a passport or work permit copy

Host identity or immigration-status evidence can be relevant in some family, specialist or sponsored cases. However, current ICA material reviewed for this page does not establish a blanket rule requiring every private host to merge their PNG passport or work permit into the same PDF as the invitation letter.

Provide host identity or status evidence when the selected visa class, application form or ICA officer specifically requests it.

Common invitation-letter mistakes

Avoid copying one template across every PNG visa route
