Build a coherent application file

PNG eVisa Supporting Documents

A strong Papua New Guinea visa file is not the one with the most attachments. It is the one where the passport, travel purpose, sponsor evidence, itinerary and class-specific documents all tell the same story. The exact supporting documents depend on the visa you choose.

  • Passport biodata page is a core document for many online classes
  • Return travel is mandatory for some classes, not every class
  • Bank statements can be requested but are not universal
  • Use live portal file limits instead of generic upload rules

The core principle

Supporting documents should prove the visa purpose—not simply fill upload slots

ICA's live eVisa system publishes different document requirements for different classes. A multiple-entry business applicant, for example, is asked for a passport biodata page, a PNG business invitation, an employer or sponsorship letter and a return airline ticket. By contrast, some simpler online visitor classes require only the core application, fee and passport biodata page unless additional evidence is requested.

That means “all visa types require passport photo, return ticket, cover letter and bank statement” is not an accurate universal rule.

Build from the class outward. Select the visa first, then collect the documents that prove eligibility for that class.

Document map

Different visa classes require different evidence

Use this as a planning map, then confirm the exact live checklist for the class you intend to lodge.

Visa route Typical core documents Possible additional evidence
Easy Visitor Permit Online application, passport biodata page, applicable online lodgement fee Return travel, accommodation, host or funds evidence if requested
Business – Single Entry Passport, PNG sponsor/business letter, prescribed fee, return/onward ticket Employer letter or extra corporate evidence depending on the case
Business – Multiple Entry Passport, PNG invitation, employer/sponsorship letter, return ticket Bank statement if ICA requests it
Restricted Employment Passport, sponsor letter, return travel, specialist/technical evidence Additional health, professional or character evidence where requested
Working Resident Employment Company records, passport, CV, qualifications, contract, photo, police, medical Professional registration, foreign-enterprise certificate, maintenance bond
Journalist / media Passport, sponsor letter, equipment list, return/onward ticket, government approvals Additional class-specific media approvals
Special Exemption / Entertainer Passport plus sponsor, event, institutional or government approvals Research, film, religious, charity or official documentation by subclass

What is not universal

Do not force the same attachments into every PNG visa application

Passport-style photo

Some employment and other classes require a recent passport-sized photograph. It is not listed as a universal upload for every current online visitor class.

Return ticket

ICA expressly requires return/onward travel for several business and specialist classes, but it is not a universal core upload for every visa class.

Bank statement

ICA's live multiple-entry business guidance says a personal bank statement is not mandatory, although it may be requested.

Cover letter to the CMO

Current official material reviewed for this page does not establish a mandatory Chief Migration Officer cover letter for every visitor eVisa.

Hotel booking

Accommodation details can support a visitor application, but a hotel receipt is not a blanket upload requirement across all classes.

Police / medical

These can be mandatory for longer employment or other circumstances, but they are not routine documents for every short visitor application.

Visitor file

For a simple visitor application, start with the passport and prove the trip only as far as the class requires

The live Easy Visitor Permit class currently requires the applicant to complete the online application, pay the applicable online lodgement fee and provide the passport biodata page. Additional evidence can still be requested during assessment or at the border.

Keep your accommodation, host details, return travel and evidence of funds organised so they can be produced if needed, but do not label every one of those items as a mandatory upload for every visitor applicant.

Business file

Business applications need evidence of both the traveller and the PNG commercial relationship

ICA's current business classes are more document-heavy than the simple visitor route.

Single Entry

One short business visit

  • PNG sponsor or business-associate letter
  • Valid passport biodata page
  • Prescribed migration fee
  • Return / ongoing ticket
Business Visa guide
Multiple Entry

Recurring business travel

  • Passport biodata page
  • PNG invitation describing purpose, duration, location and frequency
  • Employer/sponsor letter with applicant and financial-maintenance details
  • Return airline ticket
Multiple-entry guide
Bank statement nuance: ICA's live multiple-entry business instructions say a personal bank statement is not mandatory, but it may be requested.

Employment file

Employment applications require a much larger evidence package

ICA's current Employment Visa process is employer-led and lodged together with the Work Permit through the Sponsor Portal.

Employer / company records

  • Certificate of Incorporation
  • IPA company extract
  • Foreign-enterprise certificate where applicable
  • Maintenance Guarantee Bond
  • Company / organisational structure
  • PNG sponsor letter

Worker records

  • Passport biodata page
  • CV
  • Educational qualifications
  • Job description
  • Signed employment contract
  • Recent coloured passport-sized photo

Health, character and professional evidence

  • Police Clearance Certificate
  • Medical Examination Report
  • PNG professional registration where applicable
  • Completed Work Permit application

Health and character evidence

Police and medical records depend on the purpose and duration of stay

ICA says all applicants must be of good health and good character, but medical documentation and police clearance are only required in certain cases. For applicants intending to stay six months or more, a police certificate is required from age 16. Where medical documentation is required, ICA lists a medical examination report, HIV testing and chest X-ray for applicants over 16.

Short visitor

Do not automatically add police, HIV or chest X-ray records to a normal short visitor file unless ICA requests them.

Long stay

Police clearance becomes relevant under ICA's current six-month-or-more rule for applicants aged 16 and above.

Employment

Medical and police evidence are part of the current employment application checklist.

Specialist applications

Some visa classes depend on approvals that ordinary visitors never need

Journalist, entertainer, research, Special Exemption and Restricted Employment applications can require government, institutional, event, media, sponsor or technical evidence that is specific to the activity.

A journalist application, for example, can require a sponsor letter, equipment list, return/onward ticket and approvals from the Prime Minister's Media Unit and the Department of Foreign Affairs before ICA can issue the visa.

Do not reuse a tourist document pack for specialist activity. The visa class should reflect what the traveller will actually do in PNG.

Consistency check

The strongest document pack is internally consistent

1

Match identity data

Use the same full name, passport number and date of birth across the application and all supporting evidence.

2

Align the dates

Travel dates, sponsor letters, accommodation and return plans should not contradict each other.

3

Keep the purpose consistent

A visitor file should not contain evidence suggesting paid employment; a business file should not describe hands-on labour if a work visa is required.

4

Use one clear sponsor identity

Company names, addresses, contacts and signatories should be consistent across sponsor documents.

5

Check the stay length

The itinerary should fit the permitted stay of the visa class.

6

Open every file

Make sure the uploaded copy is readable and is the final version you intended to submit.

7

Keep source copies

Retain originals in case ICA requests a replacement or clearer document.

8

Save the submission record

Keep the application reference, payment receipt and final uploaded files together.

Families and groups

Keep each traveller's evidence separate even when the itinerary is shared

A family can share hotel bookings, flight itineraries or a host letter, but each traveller still has their own passport and immigration record. Store each applicant's passport copy, visa application and decision separately so documents are not accidentally mixed between family members.

This is good file management rather than a special ICA folder rule. The goal is to prevent one person's passport, photograph or approval from being uploaded against another traveller's application.

File formats and size

Use the live ICA upload field—not a copied global 10 MB rule

The sources reviewed for this page do not support one universal PNG eVisa rule requiring every passport or photo to be JPEG, every supporting document to be PDF, or every file to stay below 10 MB.

Follow the current field

If the portal specifies accepted formats or maximum size for a particular upload, use that current requirement.

Prioritise legibility

A file that technically uploads can still be poor evidence if names, numbers, signatures or dates are unreadable.

Use sensible filenames

Simple names make your own records easier to manage, but spaces and hyphens should not be presented as prohibited unless ICA says so.

Scan quality

Clear beats oversized

The passport biodata page should be complete, straight and readable. Sponsor letters should show the company or institution identity, date, signatory and relevant body text. Avoid heavy compression that turns small text into blocks or makes passport numbers difficult to distinguish.

Colour can help preserve stamps, seals and security features, but current ICA guidance reviewed for this page does not justify saying that every black-and-white scan is automatically rejected.

Common mismatches

Small inconsistencies can create unnecessary questions

Mismatch Why it matters How to fix it
Different name spelling The application may not clearly match the passport. Use the passport spelling consistently.
Different travel dates The itinerary can conflict with sponsor or accommodation evidence. Update the supporting document or application before submission.
Business visa with employment duties The activity may require a work visa instead. Reassess the visa category before lodging.
Old passport number in sponsor letter The supporting letter may appear to relate to a different travel document. Ask the sponsor to issue a corrected letter.
Wrong applicant's file Identity evidence becomes unreliable. Separate files by traveller and verify before upload.
Expired or draft corporate letter The purpose and sponsorship may no longer be current. Use the final signed version that reflects the actual trip.

If ICA asks for more

An additional-document request does not automatically mean refusal

ICA can request extra documentary evidence when the information already submitted does not fully establish eligibility or when a class permits case-by-case checks.

Respond with the specific document requested rather than uploading a large unrelated bundle. If the issue is a mismatch, correct the record clearly and keep a copy of what was provided.

Common supporting-document mistakes

Avoid copying generic third-party checklists into every application

Incorrect rule Better approach
Every applicant needs a passport-style photograph. Use a photo where the specific class requires one.
Every applicant must upload a return ticket. Return travel is class-specific and may also be requested in other cases.
Every tourist needs a CMO cover letter. Current Easy Visitor Permit guidance does not make this universal.
Every visitor needs a bank statement. Funds evidence can be requested but is not universally mandatory.
Every upload must be PDF/JPEG and under 10 MB. Follow the actual format and size controls displayed for the live upload field.
Spaces or hyphens in filenames automatically cause rejection. Use sensible filenames but do not invent a restriction ICA has not published.
All scans must be colour or the visa is rejected. Prioritise legibility and follow any explicit class-specific ICA instruction.

Ready to assemble the file?

Choose the visa class, then build only the evidence that supports it

Keep the passport, purpose, dates, sponsor information and travel records aligned. Add specialist, employment, financial or health evidence only when the class or ICA request requires it.
