Complete a PNG Visa Application Correctly

A visa form is easiest to complete when you work from the source documents in front of you. Copy identity details from the passport biodata page, use travel information that matches your real itinerary, enter a usable address in Papua New Guinea, and answer declaration questions truthfully rather than guessing what the portal expects.

How to use this page

Treat every field as a factual question

The application is not the place to improve, shorten or reinterpret information from your passport and supporting records. If a field asks for a passport number, use the passport number. If it asks for an address during your stay, use the accommodation or host details that actually apply.

ICA's published entry-permit form includes sections for passport data, organisational sponsors, previous visits to Papua New Guinea, criminal history, previous deportation or refusal of entry, and health-related declarations. Do not guess at a confusing dropdown. Save the application where possible, check the visa-class guidance or contact ICA rather than selecting a convenient answer that does not describe your circumstances.

Section 1

Personal and biographical details

Use the printed fields on the passport biodata page as the primary source. The machine-readable zone can help you cross-check spelling and passport data, but it should not replace the field labels shown on the passport or application.

Given names

Enter the given name or names shown in the passport. Do not substitute nicknames or initials unless that is genuinely how the passport records the name.

Family name / surname

Copy the surname from the passport field. Preserve meaningful hyphens and multi-part surnames where the application field allows them.

Date of birth

Follow the date format displayed by the portal. Do not assume DD/MM/YYYY or MM/DD/YYYY; read the field label and confirm the resulting date before moving on.

Names and former identities

Answer former-name questions only when they apply

If the form asks whether you have previously been known by another name, answer according to your legal and personal history. Examples can include a former married surname, a legally changed name or another identity that official records associate with you.

Do not enter a nickname simply because friends use it, and do not leave a mandatory former-name question unanswered if it applies to you.

Section 2

Passport information

Passport fields deserve a separate review because the visa or entry permit is linked to the travel document used in the application.

Passport number

  • Copy the exact alphanumeric sequence
  • Check 0 vs O carefully
  • Check 1 vs I where relevant
  • Do not insert spaces unless the passport/portal requires them

Issue details

  • Issuing country
  • Issue date
  • Expiry date
  • Place or authority of issue if the form specifically asks for it

Validity check

  • At least six months from intended PNG entry
  • Passport not cancelled or reported lost
  • Application uses the passport you intend to travel with
  • Expiry date entered in the portal's requested format
The six-month rule is measured from intended entry, not departure. ICA's current guidance uses at least six months of passport validity from the date you intend to enter Papua New Guinea.

Place of issue

Do not manufacture a city or authority that the passport does not show

Passport formats vary. Some show an issuing authority, some show a place of issue, and some use codes rather than a familiar city name. Enter what the passport and the portal actually ask for.

If the live form presents a country dropdown rather than a free-text authority field, select the issuing country instead of trying to reproduce wording such as “HMPO” or “Department of State” in the wrong field.

Section 3

Travel plans and purpose of visit

Travel fields should describe the trip you genuinely plan to make. They also need to fit the visa class you selected.

Proposed entry date

Use the date you expect to arrive in Papua New Guinea, not necessarily the date you depart your home country. International flights can cross time zones or arrive the following calendar day.

Length of stay

Enter or select a stay that fits the visa class and your real itinerary. Easy Visitor Permit classes have their own authorised stay periods. citeturn495742search0

Purpose of visit

Tourism, business meetings, paid employment and specialist activities are different immigration purposes. Choose the answer that matches what you will actually do.

Business applicants

A business visa is not a general work permit

ICA's current business-class guidance describes permissible activities such as meetings, workshops, conferences, negotiations, exploratory visits and certain other business functions. It distinguishes those activities from ordinary labour or employment. citeturn495742search0

Some business classes also require a valid invitation from a PNG-based sponsor and supporting information about the purpose, location and duration of the activity. citeturn495742search0

Section 4

Address, sponsor and contact details

The application should contain enough information for ICA to understand where you can be contacted and, where relevant, who is hosting or sponsoring the visit.

PNG address

Use the actual first or primary stay address

Enter the hotel, lodge, host residence or other accommodation details requested by the form. Include town, province and other location information where the portal provides those fields.

Sponsor

Use sponsor details only where they apply

The published entry-permit form includes organisational sponsor fields such as organisation name, street address, suburb/town, province, postcode, country and business telephone. citeturn495742search21

Phone

Use a number you can actually answer

Include the country code when the form expects an international number. Do not copy a hotel phone number into your personal contact field unless the field specifically asks for the accommodation contact.

Email

Check the address twice

Use an active email account that you monitor because ICA sends application, payment and decision communications electronically.

Address quality

Specific is better than vague

An entry such as “Port Moresby hotel” is not useful if the form asks for an address in Papua New Guinea. Use the actual property name and the location information supplied by the hotel or host.

Do not invent a street number when a remote lodge, island resort or village address does not use one. Enter the most accurate location details available and follow the portal's field structure.

Real-world PNG addresses do not always follow the same format as European or North American addresses. Accuracy matters more than forcing every location into a street-number format that may not exist.

Section 5

Previous travel, character and health questions

These questions are not optional background detail. Answer them truthfully and provide the extra explanation requested when a “Yes” answer applies.

Previous PNG visits

Criminal history

The published form asks about criminal charges or convictions and requests further details when the answer is yes. citeturn495742search21

Refusal, deportation and health

The form also asks about previous deportation or refusal of entry and certain health matters. Answer according to your actual history rather than trying to predict which response will be easier. citeturn495742search21

Date-entry mistakes

Check the displayed result, not just what you typed

Online forms can use date pickers, localised formats or separate day/month/year fields. The safest check is to read the final date displayed on screen.

Date of birth Compare the displayed date with the passport.
Passport issue date Do not confuse it with the expiry date.
Passport expiry Confirm the year carefully, especially on ten-year passports.
Arrival date Use the date the traveller reaches PNG, accounting for overnight flights and time zones.

Dropdowns and coded fields

Country, nationality, passport type and purpose-of-travel menus can contain similar-looking options. Read the label above the dropdown and the full option text before selecting.

For example, “passport-issuing country” and “nationality” may be the same for many travellers, but they are conceptually different fields. Diplomatic, official and ordinary passport types can also lead to different immigration rules.

Consistency check

The application and documents should tell the same story

  • Business activity does not contradict visitor status
  • Special approvals included where required

Common form mistakes

Small-looking errors can create large follow-up problems

Using a nickname

Use the passport identity rather than a shortened everyday name.

Reversing dates

Always inspect the final displayed date rather than assuming the portal uses your normal regional format.

Wrong travel purpose

Do not select tourism when the real purpose is employment, journalism or another specialist activity.

Copying another applicant's details

Group and family applications make it easy to attach the wrong passport or reuse the wrong phone, email or accommodation record.

Inventing a PNG address

Use genuine accommodation or host information instead of creating a street-style address that does not exist.

Hiding a declaration issue

Answer character, immigration and health questions truthfully and provide the requested explanation where applicable.

Before uploads and payment

Read the completed form once without editing it

A final read-through is more effective when you stop typing and simply compare each section against the source document.
